VistaFlow Terms of Service

Effective Date: September 25, 2026

These Terms of Service (“Terms”) govern your access to and use of VistaFlow’s website, software platform, applications, and related services.

By creating an account or using VistaFlow, you agree to these Terms.

If you do not agree, do not use VistaFlow.

1. VistaFlow Service

VistaFlow provides software tools designed to help contractors and service businesses manage business operations, including features such as:

  • Leads
  • Customers
  • Estimates
  • Contracts
  • Jobs
  • Scheduling
  • Teams
  • Time tracking
  • Expenses
  • Invoices
  • Payments
  • Reporting
  • Related business workflows

Features may vary depending on your subscription plan.

2. Eligibility

You must be legally capable of entering into a binding agreement to use VistaFlow.

If you use VistaFlow on behalf of a company or organization, you represent that you have authority to bind that organization to these Terms.

3. Accounts

You are responsible for:

  • Providing accurate account information
  • Maintaining the security of your login credentials
  • Controlling access to your account
  • Activities performed through your account

You must promptly notify VistaFlow if you believe your account has been compromised.

4. Subscription Plans

VistaFlow may offer multiple plans, including:

  • Solo
  • Crew
  • Company
  • Other plans or add-ons introduced in the future

Certain plans may be free.

Paid plans may include recurring monthly or annual subscription charges.

Features, usage limits, included users, and pricing may vary by plan.

5. Free Plan

VistaFlow may offer a free Solo plan.

The free plan may include limitations on:

  • Number of users
  • Features
  • Automations
  • Reporting
  • Advanced team functionality
  • Other premium capabilities

VistaFlow may modify the features included in the free plan over time.

6. Additional Users

Certain paid plans may include a specified number of active users.

If a plan allows additional users beyond the included amount, additional per-user charges may apply.

Inactive or archived users may be excluded from billable user counts according to VistaFlow’s current billing rules.

7. Free Trials of Paid Plans

VistaFlow may offer a free 30-day trial of a paid plan (such as Crew or Company). No credit card is required to start a trial.

A trial begins only when you explicitly confirm that you want to start it. Viewing a locked feature, opening a trial offer, or viewing plan details never starts a trial.

Each company is generally eligible for one Crew trial and one Company trial. A trial may not be restarted after it has ended, been cancelled, or been used.

During a trial, your account temporarily receives the trial plan’s features and included user allowance. Your permanent subscription plan and billing are not changed by starting a trial.

Trials do not automatically convert into a paid subscription. Nothing is charged automatically when a trial ends.

When a trial ends without a purchase, access to the trial plan’s paid features is restricted again. Your permanent plan remains available.

Data you create while using trial features is retained by VistaFlow. Some paid-feature records may be limited or read-only until you upgrade, but trial-created data is not deleted.

To keep paid-tier access after a trial ends, you must purchase a subscription through VistaFlow’s Stripe checkout.

If you already have a paid subscription, starting a trial of a higher-tier plan does not change your existing subscription or billing.

8. Billing

Paid subscriptions are billed according to the pricing and billing interval selected at purchase.

By subscribing to a paid plan, you authorize VistaFlow and its payment processor to charge the applicable fees.

Subscriptions may renew automatically unless cancelled.

Taxes may be added where required by law.

9. Pricing Changes

VistaFlow may change pricing for future subscriptions or renewals.

Where appropriate, VistaFlow may provide advance notice of pricing changes.

Certain customers may receive founding, promotional, or grandfathered pricing.

Any protected pricing arrangement will be governed by the terms presented when that pricing was granted.

10. Cancellation

You may cancel a paid subscription through available account settings or by contacting VistaFlow.

Unless otherwise stated, cancellation stops future renewal charges.

Access to paid features may continue through the end of the current paid billing period.

Fees already paid are generally non-refundable except where required by law or expressly stated otherwise.

11. Customer Data

You retain ownership of the business information and content you enter into VistaFlow.

You grant VistaFlow a limited right to host, process, transmit, back up, and display that information only as necessary to provide and operate the service.

You are responsible for ensuring you have the right to enter and process customer information through VistaFlow.

12. Email Connections

VistaFlow may allow you to connect a Google, Microsoft, or other supported email account.

When you connect an account, you authorize VistaFlow to perform the email functions you enable.

If you submit a review and explicitly grant permission for public use, VistaFlow may display the review for marketing purposes.

VistaFlow will not knowingly publish private feedback or bug reports as testimonials without permission.

23. Intellectual Property

VistaFlow and its software, branding, designs, interfaces, logos, code, and related materials are owned by VistaFlow or its licensors.

These Terms do not transfer ownership of VistaFlow intellectual property to you.

You receive only the limited right to use the service in accordance with these Terms.

24. Suspension or Termination

VistaFlow may suspend or terminate access if:

  • You materially violate these Terms
  • You fail to pay applicable fees

Where reasonable, we may provide notice before suspension or termination.
